Forms and guides – adding a new form or overriding an old one (current students and current staff)

All student forms and guides can be accessed via Current students>Study Essentials>Forms and guides.

All staff forms and guides can be accessed via Current staff>Systems and tools>Forms, guides and templates.

All forms featured on these pages are linked to assets saved in different areas of the Current Students and Current Staff sections of the web site.

Note: No form assets are saved under the Forms pages.

Updating an existing PDF, DOC or XLS form

If you have an existing form in the Forms page, you can update it at any time by simply overriding the form saved in your content area of the site.

Once your asset has been approved through workflow your form will automatically update on the Forms page.

Adding a new form to the Forms and Guides page

If you would like to add a new form to the Forms page, simply upload the form to your content area - this will be where the form belongs.

For more help, download our instructions on how to upload a PDF, DOC or XLS file.

Once you have uploaded the new form to the relevant content area you can then apply for approval.

For student forms:

When your asset has been approved, submit a request to SA-WebChanges@newcastle.edu.au to add your form to the Forms and Guides page.

For staff forms:

When your asset has been approved, submit a request to Sarah.Nash@newcastle.edu.au  in Human Resource Services, in order to add your form to the Forms, guides and templates page.

Please include the following information in your email: Asset number, the content area that it is saved under and the section of the Forms page that the form should appear (this structure is designed to reflect the Current Students and Current Staff site structures.

Example:

1. A form for student fees is created and saved in the Fees and Scholarships content area of the web site. A link to the form is then placed on the relevant content page.

  1. Once all assets and content changes have been approved, send an email to SA-WebChanges@newcastle.edu.au requesting a link to your form on the Forms and Guides page.
  2. In your email, state which accordion section of the Forms and Guides page the form should sit ie. Fees and Scholarships under the Support heading. You should also include the asset no and location where your form is saved.

Deleting forms

If you would like to delete a form on your page, simply follow the below steps:

For student forms:

  1. Delete the link from your content.
  2. Send an email to SA-WebChanges@newcastle.edu.au requesting that any links to your old form are removed from the Forms and Guides page.
  3. Once all links to your form have been removed you can then delete the form asset in Squiz.

For staff forms:

  1. Delete the link from your content.
  2. Send an email to Sarah.Nash@newcastle.edu.au 
     in Human Resource Services requesting that any links to your old form are removed from the Forms, guides and templates page.
  3. Once all links to your form have been removed you can then delete the form asset in Squiz.
